How To Use Valley Icon Finance App

Follow this workflow every day to keep sales, balances, expenses, and reports accurate.

1. Daily workflow (Operations)

Open Operations and complete these steps for the same date:

  1. Save Daily Sales & Cash (net sales, cash closing balance, notes).
  2. Optional: use Add via Text Dialog for Text Entry, Off Day, or Zero Sales saves.
  3. Save Linked Account Balance snapshots for all active accounts.
  4. Record all expenses (Business, Family, Partner Salary).
  5. Close the day after all entries are complete.

Text Entry saves `Day Status` as `Working Day` automatically. Off Day and Zero Sales only need a date and carry forward the latest prior balances.

If data already exists for the selected date in text dialog mode, the app asks for override confirmation.

2. Dashboard review (Partner/Admin)

Use Dashboard to review:

  • Daily/Weekly/Monthly/YTD trends
  • Day status by report row
  • Net sales, gross and net estimated profit
  • Total expenses and cash closing balance

Use the Download Daily PDF button for shareable daily reports.

3. Admin controls

Open Admin to manage:

  • Margin settings by effective date
  • Daily PDF recipient list
  • PDF template text and branding
  • Partners and linked accounts
  • CSV imports (historical and ongoing)

4. CSV formats

Supported import types:

  • `daily_summaries`: date, net_sales, cash_closing_balance, day_status, notes
  • `expenses`: date, category, amount, description, partner_id/partner_name
  • `account_balances`: date, linked_account_name, closing_balance
